SRV LAB / SYSTEMS REVIEW

Penny Pipes.
A clearer path
to readiness.

Inbound SMS is already enabled. The next step is to align Penny’s knowledge, booking rules and human handoffs, then prove the experience before November 6.

Review conclusion

Configuration reviewed.
Readiness still to be demonstrated.

Gardner has already invested in a substantial operating setup. ServiceTitan is the primary operational source for this review. The website was not used to overrule account information.

The highest priorities are reliable human follow-through, consistent fee and AHS rules, and complete guidance for the services now configured.

02 / CURRENT SYSTEM

What is already in place

A snapshot of the live account on October 29. A setting confirms configuration, not successful delivery.

Two profiles.
SMS already enabled.

Penny Pipes has 26 SMS-enabled numbers. A second profile, Penny, has one. Both use Gardner Plumbing Company in their greeting.

Source S1
Voice persona
Penny Pipes uses the Lindsey voice. Natural speech and Spanish are enabled.
Booking skills
Direct booking, confirmation and rescheduling are on. The rescheduling cutoff is one hour. The overall cancellation skill is off.
After-hours booking
Enabled. “After-hours” is defined as outside configured business hours. Assignment to an on-call technician is off.
Human takeover
Both SMS profiles have a 72-hour re-engagement delay after the last manual human message. This is not a callback deadline.
Outbound workflows
Appointment Move Up, Schedule Parts Follow-Up, Speed To Lead and Unsold Estimates are inactive.

04 / SMS EVIDENCE

What the conversations show

Paolo’s October 23 export contains 353 records with Last Activity dates from July 17 through October 22, 2026. Source S5

The recurring opportunity

Keep the context.
Complete the handoff.

Existing-job questions and callback requests sometimes lead to an office-call referral or a fresh intake sequence. The export does not establish whether a staff member then resolved the request.

276 general inbound77 missed-call workflow
OCT 22 / ROW 2

Unfinished work status

Penny says it cannot see live updates and directs the customer to call the office.

Opportunity: capture a status request for an owner.
OCT 17 / ROW 22

AHS contact request

An existing approval and reroute question receives more intake and an office-call referral.

Opportunity: retain context and route the request.
OCT 16 / ROW 26

Return a key

A practical follow-up request receives a cannot-reach-the-technician response and additional intake.

Opportunity: recognize non-booking assistance.

Labels need context

“Abandoned” is a platform label, not a measured failure rate. “Converted Direct” does not prove a correct or completed booking.

Some historical staff-looking messages are also labeled AI Agent, so every exported line cannot be attributed to the current Penny configuration.

October’s 87 records include 35 Abandoned, 20 Takeover, 19 Resolved and 7 Converted Direct; no Failed records are labeled in that month. This is not a measured improvement claim.

Examples are paraphrased and omit customer identifiers. CSV row references count the header as row 1. Human outcomes, SMS delivery and actual job creation were not independently verified.

05 / READINESS PLAN

Three decisions.
Then a controlled test.

The account answers many factual questions. Troy and Paolo’s input is most useful for these remaining operating choices.

01

Choose the SMS scope

Which requests should Penny complete before the trip: new bookings, scheduling changes, existing-job callbacks and missed calls?

Suggested starting point: prove the existing inbound workflows before adding inactive outbound campaigns.

02

Name the human owners

Who handles urgent, unresolved and requested-human conversations while Troy is away? What response time and backup apply?

Suggested starting point: one primary and one backup for each coverage period, with tested notifications.

03

Approve the policy rules

Resolve retail and AHS after-hours wording, PACE surcharge exceptions, what Penny may quote, and when fees are disclosed.

Suggested starting point: one approved policy sheet that drives the KB, job descriptions and example responses.

A proposed path to November 6

Planning dates only. Changes depend on approval and successful testing; no implementation has been scheduled.

  1. Agree on the brief

Confirm the three decisions and approve the authoritative business facts.

  2. Make approved changes

Align knowledge, descriptions, fees and handoffs. Keep a record of changes.

  3. Run controlled scenarios

Check voice and SMS responses, resulting jobs, tasks and notification delivery.

  4. Review and hand over

Troy and Paolo review results, confirm coverage and decide what is ready.

Proposed acceptance tests

Each test needs an observed response and the correct downstream result.

All tests pending
Ready means demonstrated.

Critical safety and routing scenarios pass, the approved policy is reflected in answers, and the assigned staff can receive and act on handoffs. Record the evidence and obtain Troy and Paolo’s acceptance before relying on the revised setup.

06 / EVIDENCE

Sources and limits

Reviewed October 29, 2026. This is a configuration and historical conversation review, not a certification of live performance.

S1 Agent configuration and SMS

ServiceTitan Agent Studio: Penny Pipes (391) and Penny (3038). Persona, conversation flow, skills, task types, escalations, inbound SMS and outbound workflows.

ServiceTitan links require an authorized account. This microsite has no connection that changes these settings.

S2 Operational business records

Company profile, business units, business hours, arrival windows, zones, membership types and recurring-service types. Membership facts come from the PACE recurring-service job summary and invoice template.

S3 Gardner knowledge documents
  • GPC Knowledge Base for CCP Docs 1-3.docx
  • GPC Knowledge Base for CCP Docs 4-7.docx
  • GPC Knowledge Base for CCP Docs AHS and Commercial Client Parameters.docx

Supplied and downloaded copies were inspected. Corresponding direct and Shared copies matched. Embedded file metadata lists May 15, 2026, but does not establish upload date or the last policy review.

S4 Job types and fees export

job-types-and-fees-2026-10-29.xlsx, sheet “Job Types & Fees,” range A1:H272. All 271 data rows analyzed. Counts are job-type/business-unit combinations, not unique services. No duplicate pairs were found.

All standard dispatch-fee cells are blank. After-hours fees are $450 on 201 rows and blank on 70. Blank means unspecified, not free. Row-level booking, rescheduling and cancellation flags all say Yes; the overall cancellation skill is nevertheless off.

Fifty-four descriptions are blank, including all 19 HVAC Service and 25 Electrical Services mappings. Configured names do not prove inventory, specific models, staffing or live availability.

S5 Historical SMS export

interactions_20261023162813.csv, sent by Paolo in “SMS Logs” on October 23, 2026. 353 records; all labeled SMS Agent. Last Activity spans July 17–October 22; timezone is unspecified and conversation content may predate Last Activity.

Counts describe the export, not a controlled performance study. The CSV has no interaction-ID column. Completed jobs and end-to-end handoffs were not independently verified.

S6 Product and safety references

Official documentation helps explain the platform’s inputs. It does not establish which rule wins in every conflict or confirm Gardner’s exact runtime behavior.

What this review does not establish

Whether every account update is automatically available to Penny, the precedence of conflicting KB and fee rules, actual dispatch capacity, customer billing, message delivery, task completion or successful live transfers. Full Pricebook and equipment inventory validation were outside this review.

No settings were changed, no customer messages were sent and no controlled production calls or SMS tests were run. All improvements and dates on this site are proposals for review.
